Entry document to the SMART MANAGER (SM) management system from SMART RIGHTS. Below are all the details on how to request and organize all the necessary documentation for the phonographic and editorial catalogs to be processed.
For a better organization of the processes using the SMART MANAGER system, it is necessary to have all the documents listed below always organized in the correct format, and then upload these analytics, statements and sales reports to your management account (SM) for processing.
1- Publishing and Recording shares
Work analytic report and recording analytic report
Request updated work and recording analytic reports from your Performing Rights Organization (PRO).
Note (Brazilian territory): These reports could be requested via email to your PRO. They must use the ECAD template in PDF format, and this model is not available on their portal for download.
Note 2: Se seu catálogo de obras e fonogramas são constantemente atualizados em sua sociedade de classe os mesmos devem ser solicitados mensalmente por e-mail e depois carregados no sistema SR para atualização das novas obras e fonogramas. Note 2: If your catalog of works and recordings is constantly updated in your PRO, they should be requested the updated version monthly (by email) and then uploaded to SMART MANAGER to update your works and recordings.
Income statement from your PRO
Request or download public performance income statements from recent years (consolidated by year), or on monthly files in xls or csv formats (for Abramus and UBC).
Note: These month-to-month statements are now available on the ABRAMUS portal for download at xls and csv.
Note 2: On the UBC portal, these statements can be consolidated year by year and must be requested by email in ECAD format (in xls.csv).
Note 3: If you are not at UBC or Abramus, request the quarterly statement in the ECAD model in PDF format by email from your PRO.
2 – Recording share
Download month-by-month sales reports from your distributor(s) control panel for the last 3 months, in FULL detailed CSV format and/or in some distributors full detailed XLS files (Onerpm and Fluve) at The Orchard download in TXT and then change the file extension name to CSV.
If your company licenses works to third parties (indies), request reports from the last 3 months of sales, in detailed CSV FULL format.
If your company has a direct contract with YouTube MCN, download it from your control panel, or request reports from the last 3 months of sales, in detailed FULL CSV format.
If your company licenses works to third parties (eg. Majors), request reports from the last 4 quarters (Q1, Q2, Q3 and Q4), in detailed XLS and/or FULL CSV format.
Note: Never ask for annual consolidated reports, always download or request files month by month from distributors and quarterly if from majors.
3 – Publishing share
Digital Mechanic
Request receipt reports for digital mechanics paid to your publisher by the collecting company for the last 4 quarters in detailed CSV FULL format.
Self-management publishers
Request the last 4 quarters of payments in detailed XLS and/or FULL CSV format.
Managed Publisher
If the company has its publisher managed by third parties, request the last 4 quarters of payments in detailed CSV FULL format.
Note: Never request annual consolidated reports, always download or request quarterly files (Q1, Q2, Q3 and Q4).
4 – Synchronization
Sync – Smart Rights is further developing this item to evaluate Sync receivables. If the client is regular in this segment, they will be able to inform the gross values and the contract split for the last 12 months of each operation.
