How it’s done
1 – Access the owners section in the side menu
2 – Click on the actions menu to export your assets in CSV
Before we can import the splits, we need the spreadsheet with all owners. It will serve as a template so you can easily and directly fill in the splits on the spreadsheet. (Alternatively, the downloadable template with filling instructions can be found here).
Therefore, click the actions menu in the bottom right corner and click “Export“. In the format selector, choose “Owner Splits“. This is a format where each line refers to a single owner of each owner. Confirm by clicking the “Export” button.
You will receive the file in your email.
3 – Open the spreadsheet and fill in the splits and categories
The splits (percentages of each right) and categories (form of participation) are separated into columns, by rights. This means you can define different percentages for different rights if you wish.
For example, in the case of a owner where we want to add the splits for Digital Distribution rights, we must fill in the columns:
- owners_category (column Q): Composer Author, Publisher, Administrator, Recording Producer, Label, Artist, Arranger, etc.
- owners_percent (column R): The agreed percentage for each owner in decimal format (Ex: 0.25 for 25%). The sum of all owners must be 1 (100%) for each owner.
Similarly, if the intention is to fill in the licensing splits, use the columns “licensing_owners_category” and “licensing_owners_percent”. If you want to fill in the public performance rights, use the columns “pro_owners_category” and “pro_owners_percent”. It is also possible to fill in the splits for physical distribution rights (physical_owners_percent), print (print_owners_percent), Sync (sync_owners_percent), Publicity (publicity_owners_percent), and Database (db_owners_percent).
4 – Save the file and import the splits spreadsheet
After you finish filling in the desired splits, save the file and return to Smart Suite. Access the owners area again, click on the action menu, and then on import. In the format selector, choose “Owner Splits” and upload the file.
Click import. After a few moments, the splits will appear in your owners.
Congratulations! You have saved a lot of manual work time with this bulk import. You are now ready to process the reports, as they will use these percentages.
