How it’s done
1) Access the “Contracts” section
When accessing the Smart Rights system, select the “Contracts” tab (1) in the Admin section. Click on the actions button in the bottom right corner, select the “Register” option (2).
2) Select contract settings
In the dialog window, select contract configurations from a template.
- Contract Name: Enter a name for the contract.
- Template: Select one of the available models: Agency, Publishing or Recording.
When selecting a template, the next three fields will be automatically populated.
- Vault ID: Autofill
- Rights: check if the selected rights correspond to what is necessary. To change, simply click and use the checkboxes to insert or remove rights.
- Assets: check whether the selected assets correspond to what is required. To change, simply click and use the checkboxes to insert or remove assets.
- Start date: enter the contract start date
- End date: enter the end date of the contract
- Content: Check out what the body of the contract will look like

3) Enter the Contract Parties
On the contract details screen, select the “Parties” tab to enter the parties/holders of the contract. Click on “Add Owner“.
In the “Owner Name” field, type the name of the “Owner” (1) and the system will search for your registration and display a list of possible results. You must select it from this list before the information can be saved.
Only already registered owners will appear on the list of suggestions. If any of the holders related to this product do not appear in the search, register them in the “Owners” section of the system.
Enter the “Role” of the part/owner. When you start typing in the field, the system will provide a list of suggestions. Click on the green “checkbox” button to confirm the inclusion of the part.
4) Enter the percentage of rights
For each type of right, click “Add Split” to include one of the parts inserted in the previous step.
Enter the name of the “Owner” (1) and the system will search for your registration and display a list of possible results. You must select it from this list before the information can be saved.
When selecting the owner, the typing focus goes directly to the “Function” field (2). Enter the role of the owner and press “Enter” for the next field.
Enter the owner’s “Percentage” (3) and press “Enter” on your keyboard or click the green button next to the percentage field to save the information.
Repeat the process for all owners for that product until the total is 100% or 1 appears.
Tip: Use the “Copy from” button to repeat splits between rights in a contract.
5) Enter contract assets
Finally, enter the contract assets in the “Assets” tab.
Click the “Add…” button. Enter the name of the asset and the system will search for your registration and display a list of possible results. You must select it from this list and confirm with the green “Checkbox” button. Repeat the procedure until all assets are included.
5) View the created contract
With all the information entered, you can view the contract in the “Terms” tab or by clicking the top right action button and selecting the “View Contract” option to open a PDF version.
