How to use Smart Search

Smart Search is a tool designed to facilitate the investigation and location of authorized or unauthorized recordings of works from a catalog. This tutorial will guide you through the process of using Smart Search. Use it to assist in the identification and management of recordings of works in your music catalog.

How it’s done

1- Accessing Smart Search

To access Smart Search functionalities, you will need to go to the Works tab.

2- Choose the work

Choose the work you want to investigate and click on it. You will see a tab called Spotify. Click on it to search for occurrences of your work on Spotify.

3- Viewing the Results

After the search, you will see the results displayed on the platform. You can scroll down to see more results, noticing not all results are necessarily a match with your work.

4- Analyzing the Results

It is important to analyze the results to determine if they correspond to authorized recordings of the work. Smart Search offers additional options, such as viewing track metadata, links to copyright information, and the ability to import the sound recording into your account.

5- Importing recordings

Whenever you find a match with a recording you can either click on “Import” below its metadata or click on the green check button. It will then import the recording to your account and link it to your work. Imported recordings will have their title color changed to green to help you know which ones you have already investigated and imported.

6- Refining the Search

You can refine your search by selecting the “exact name” option. Just check that option and restart the validation. This ensures that only tracks with the exact name you specified are displayed in the results.

7- Managing Sound Recordings

Smart Search allows for more efficient management of sound recordings related to works. One use of the tool is to export a recordings file from your works tab so you can know which recordings you should be collecting digital mechanical rights but are not because there was no previous link between your work and that recording. Then you are able to send you to your collection society (e.g. Backoffice) in the right file format.

 

All done! Now you can keep track of all the recordings that have used your works and be able to collect royalties from them.
